ACCESS 2022 REGISTRATION FORM

Registration Process

STEP 1: MAKE SURE YOUR PATIENT INTAKE IS COMPLETED

The first step of our registration process is to complete our Patient intake paperwork. Without this document completed, your registration forms will NOT be accepted and we cannot add your child into a session. You will be sent these recommendations after your Patient intake has been completed.

  • NEW NAPA FAMILIES: For families who are new to NAPA and have not completed at Patient Intake form, you will need to complete the full NAPA Australian patient intake form which can be found here.
  • EXISTING NAPA FAMILIES: For existing NAPA families who have already submitted an intake form or have attended the clinic, you may just need to complete the NAPA Australia Patient Intake Update form which can be found here. Intakes should be updated every 12 months.

STEP 2:PRE-SELECT YOUR SESSION DATES

Before you register, select up to five 2022 dates that will work best for your family. This year we are only accepting ONE form per patient. On this single form, there is an option to select up to 5 sessions in order of location and date preference. Please note that whilst we will be offering some one-week sessions in 2022, these will be reserved for returning NAPA families. If English is your second language, then we suggest you have someone assist you with this process or have it explained to you in advance.

STEP 3: REGISTER

Fill out the single page registration form which you can access by clicking here. We only require one form to be completed per patient with your preferences. All subsequent forms received for your child after the first will not be considered.

STEP 4: WAIT FOR YOUR CONFIRMATION EMAIL

Intensive Scheduling is a lengthy process so please give us some time to come back to you with an offer of an intensive session. We will email you directly if we have a spot for your child in the session you have chosen. Your spot will then be confirmed once you accept that spot and either pay your deposit or complete a service agreement. You can read more about this process on the Payments page. If the session you have requested is all booked up, we will automatically add you to the wait list for that session.

Please note that submitting a registration form is a request for an intensive that also lets us know your preferences. Filling out this form in no way guarantees you a session or any preferences. We do our absolute best to accommodate your requests but due to the volume of families, all with specific preferences and scheduling needs, meeting even your most preferred request is not always possible. If you miss out on the session you have registered for, we will automatically add you to the waitlist for that session.

NAPA Intensive Registration FAQ’s

1. Can I register at another time?

You cannot register for any 2022 sessions prior to the above date. Based on our experience , it is highly advisable that you register at this time or get someone to register on your behalf as sessions can fill up fast. Registrations remain open indefinitely so you can still register for any intensive after the registration date but you will be likely to be added to the waitlist for these sessions. Waitlists simply mean that the session is full and you can be contacted should another family pull out of their intensive or should another spot open up.

2. Are you doing any pop-ups in 2022?

We are hopeful that we will be able to schedule some pop up sessions in 2022, however for the moment due to COVID, we will not be announcing any pop up dates until a later date. It is best to register for NAPA intensives in Sydney and Melbourne for the moment and we can always change your booking down the track should we announce a pop up and you are successful in getting in.

3. Can I submit multiple registration forms?

This year we are only accepting one form per patient. Submitting multiple forms will not increase your chances of getting into a session.

4. Are certain intensive sessions easier to get into than others?

Yes. Our school holiday sessions are in highest demand and tend to book out the fastest. If you are not particular about when your child completes their intensive, or your child is not yet at school, then we suggest you choose options outside of the school holiday blocks. Don’t forget that NAPA’s team of amazing therapists is expanding plus this is the first year that we have 2 clinics all year round, so we have more places available than ever before!

5. I filled out my form in the first minute – how did I not get a spot?

We have a limited number of spots and a few thousand families who will be registering for these spaces within minute of registration opening. Even if you submit your form as quick as possible, we can’t offer every family an intensive due to the volume of applicants. Registering on registration day does ensure you are high on the wait list!

6. How many intensives can I register my child in?

We suggest that you only apply for the dates you really can commit to and prioritise your top session dates in the order that you want them. Typically, children may do between 2-4 intensives a year. We highly recommend a minimum two-intensive (6 week) break between intensive sessions. You will continue to see gains after your child’s session, and it is just as important to build off those gains as the intensive session itself. If you would like to schedule another session within two intensives of your last, you will need discuss this with NAPA and receive permission from the NAPA therapy team. This year, the registration form will limit you to just 5 session choices.

7. What happens once I have registered?

The registration process is an extremely busy time for NAPA as we schedule an entire year’s worth of intensives for the two clinics at this time. It is a manual process and very complex as we try and ensure that as many families as possible get a session and each program is appropriate for each child. Please allow us some time to come back to you by email and confirm if your child has gained a place in an intensive or has been added to a waitlist for a session.

Whilst your child may initially miss out on a preferred place due to demand, we process a number of rounds of applications over the weeks post the registration opening as families accept or decline their session offers. Your child will be added to the waitlist to each of the sessions that you registered for, and we will contact you by email if an appropriate place can be found. Keep in mind that things can easily change in other family’s lives through the year, and these waitlist spots may be offered to you sooner rather than later.

8. What if I can’t travel to an intensive due to COVID restrictions?

Please note that we will be flexible where possible and waive cancellation fees for intensives if they are canceled beyond your control or if travel restrictions prohibit you from coming to NAPA. Whilst NAPA is open and travel is possible, we will still charge normal cancellation fees if you cancel within 30 days of the start of your intensive, when you have made the optional decision to cancel. We understand these are very challenging times, however we ask for your understanding and co-operation with these conditions so we can continue operating our clinic during these times. Please consider all aspects of how travel is being affected during Covid, including the potential need for you to isolate ahead of your intensive or afterwards.

If you pay a deposit or further amounts for a intensive that is affected by a COVID closure or by state/international travel restrictions or quarantines, we will work with you to reschedule your intensive for a later date when things have settled down (subject to availability). Please note that there are no guarantees, as this will be reliant on a suitable space being available for your child at a later date. Any payments you have made will be held in credit until a time at which you can utilise them, minus any cancellation fees that may still be applicable if you have not given us adequate notice.

If we are unable to find a suitable place for your child at a later date, you may request a refund for any payments made. As noted above, a cancellation fee may apply if you have not given us adequate notice and a refund fee of 3% of your payment will be applicable should you request a refund. For up to date details on our COVID policy, please visit this page.

9. Can I choose any NAPA clinic to attend?

You will have the option on the registration form to select your preferred clinic: Sydney or Melbourne. Please ensure that you are registering for the correct location. To register for intensives in our US clinics, you will need to select one of our US locations: Los Angeles, Boston, Denver, Chicago and Austin. This is best done via the US website: www.napacenter.org

10. I haven't received any communication about registration or since registration - What's happening?

Please note that we will only be in touch with you after registration if we have a space to offer your child. Due to the number of registrations we receive each year, we simply cannot get into contact with every family. If you have not heard from us, this means that you have missed out on a initial place in the intensives you have registered but we will have automatically added you to our waitlists for those sessions so we may still get into contact with you further down the track if a spot opens up or as our team continues to build. We also suggest that you follow our facebook page as that is where last minute intensive spots often open up.

Please be aware that on occasions (and especially if you have a hotmail email address), emails from our central server can filter automatically into your junk folder. Please monitor these folders, especially in the weeks following registration, as that is where your intensive offers may go! It is best to add NAPA Centre as an approved sender of emails to your system to avoid this happening in the future.

11. I still have registration questions – what should I do?

Reach out to us at any time to ask your registration questions. You can submit them via email or we recommend calling our clinics to get your questions answered on the spot.

Hot Tips About Registration From NAPA Parents

  • Have your preferred dates chosen in advance– do check your calendar for your local school holiday dates, any family events, any holidays or long weekends planned etc that might mean you can’t travel to or attend an intensive
  • Have any particular details or notes about any preferences pre-written in a Word document so you can easily copy and paste into the notes field in the registration form – this will save you time and effort! Information about your child’s nap times or feeding times is super helpful for planning.
  • If you have particular preferences – NAPA will do their best to accommodate your preferences, but in general, the more you add (such as start times, therapists etc) the harder it may be to easily schedule you into a session. If your chosen therapist is already booked up, it is noted by the team, but that therapist may not become an option. The upside is, your child will be with an equally fantastic NAPA therapist – in fact you may find a new favourite therapist!
  • NAPA would prefer you to register for the key sessions you are interested in, with an additional note in the notes section regarding flexibility around dates, rather than registering for every session throughout the year.
  • You do have to be quick! Registrations come in super-fast on the day and it is kind of like buying concert ticketsIf you are not very computer savvy or don’t have access to a laptop or computer, find someone who is! The laptop will be easier to use than your phone.
  • Therapy type preferences: If in doubt, you really don’t know, or you have only recently submitted an intake form, choose therapists recommendations for types of therapy option
  • Make sure you complete all of your own and your child’s details in full, as well as your contact details. All fields must be completed in order for the form to be able to be submitted.
  • On the day of registration don’t keep refreshing the NAPA website 100 times before 10am. It will mess up your computer cache and you won’t be able to register any faster.
  • The system will (hopefully!) work. If you are having issues, remember to FIRST check which internet browser you are using (Safari, Firefox, IE, Chrome etc), and some workplace internal servers/firewalls are not a fan of some forms. Check this before calling NAPA!
  • On the day, concentrate on making your own child’s session selections carefully when the form opens. Don’t waste precious time by ringing NAPA or posting on social media – that just wastes your time – and jams the NAPA phone lines!

Don’t panic and stay calm!!! You’ve got this NAPA Parents!
